Your Team Makes the Decisions

Clinicians recommend treatments and assess suitability. ClientCloser shares only clinic-approved information and pricing.

The Response Gap

Don’t let price questions go unanswered.

Prospects compare clinics, ask about pricing first, and may move on if no one replies.

  • Evening and weekend inquiries can sit until the next business day.
  • Instagram and Facebook DMs pile up between appointments.
  • Follow-up can stop after one or two attempts.
  • Promotion inquiries can go cold before anyone replies.
What ClientCloser Does

Stay with the inquiry, from first question to consultation.

01

Replies in seconds, any hour

Website chat, Instagram and Facebook DMs, WhatsApp, SMS, and email get an on-brand reply, including nights and weekends, on the channels you connect.

02

Answers from your approved menu and pricing

Explains your per-unit, per-syringe, and package pricing using the price list you provide, and hands off anything it isn’t approved to answer.

03

Gathers consultation details and books

Asks about treatment interest, area, first-visit status, and timing, then books the consultation on your calendar.

04

Keeps following up for weeks

Prospects who go quiet get polite, spaced-out follow-up with approved information, following your cadence and consent rules, until they book or tell you to stop.

Example 01 · New Inquiry

From a price question to a booked consultation.

Fictional clinic example. The $13 per-unit price and appointment times below are sample values, not a real clinic’s quote. Your clinic supplies its own approved prices, answers, and booking rules.

Visitor
How much is Botox, and can I come in this week?
ClientCloser
Thanks for reaching out. Our Botox is $13 per unit. The number of units depends on the treatment area and goals, which your clinician determines at the consultation. Is this your first visit?
Visitor
Yes. I’m mostly interested in my forehead lines.
ClientCloser
Thanks, that’s helpful. I can help you book a consultation with the team. Do mornings or afternoons work better?
Visitor
Thursday afternoon.
ClientCloser
I have Thursday at 2:00 PM or 4:30 PM available. Which works?
Example 02 · Follow-Up

Quiet doesn’t always mean no.

Illustrative follow-up for a contact eligible to receive these messages. Your clinic sets the timing, approved content, and stopping rules.

ClientCloser · day 2
Hi Jordan, just following up on your question about filler pricing. If it helps, I can share our approved pricing for the areas you asked about. Would that be useful?

No reply

ClientCloser · day 9
Hi Jordan, no rush at all. If you’d like to talk through your options with our team, I can help you find a consultation time.
Visitor · day 11
Yes, can I book something for next week?
ClientCloser
Of course. Do mornings or afternoons work better?
The Clinical Boundary

Your clinicians make every treatment decision.

ClientCloser handles information and scheduling. It never recommends treatments, assesses suitability, or gives medical advice. It only quotes pricing and claims you approve, hands off any question it can’t answer, and logs every conversation so you can review it.

FAQ

Questions med spas ask.

Your clinic defines the pre-consultation questions, such as treatment interest, area, first-visit status, timing, contact details, and preferred consultation times. These answers can include health-related information. It does not ask for medical records or photos. If a visitor shares additional sensitive details, they are included in the conversation transcript and handled under your retention and access settings.

Inquiry conversations and contact data are encrypted in transit and at rest, with role-based access controls and configurable retention. Conversation transcripts are logged so your team can review them. These safeguards do not replace a BAA where one is required.

No. ClientCloser does not currently offer a Business Associate Agreement (BAA). It handles pre-consultation inquiries and scheduling, and does not collect photos or medical records. If your clinic requires a BAA for inquiry conversations, talk with us before getting started. Cash-pay status alone does not determine whether a BAA is required.

Yes, from the price list you give it: per unit, per syringe, or per package. It answers only from your approved pricing, and anything outside it goes to your team.

Yes. It follows the cadence you set, with messages in your clinic’s voice, and stops when the person books or opts out.

Yes, following your cadence, approved content, and consent rules. Your clinic sets which contacts are eligible to receive promotional follow-up.

It tells the patient it will check with the team, captures their question and contact details, and routes the conversation to your staff. It won’t guess or invent an answer to keep the chat going. Anything needing a clinician’s judgment goes to your team.

We review your services, approved answers, inbound channels, calendar, and handoff rules with you, and you approve everything before it goes live.

Yes. You set the pricing it can quote, the claims it can’t make, and the tone it uses before it goes live, and every transcript is logged for review.

No. It handles after-hours replies, repetitive questions, and follow-up so your team can focus on patients in the clinic.
